Sales Tax Policy | Canvas USA®

Canvas USA® Sales Tax Policy · v2.0
Effective Date: September 1, 2026 · Replaces the Tax-Free Policy Statement dated October 4, 2023.
If you are buying tax-free — for resale, or under another exemption — this page tells you exactly what we need and when we need it. It sits under the Canvas USA® Terms of Service.

1) The short version

Send us your exemption certificate before you buy, not after.
• We review and approve it first; then the order is written tax-free.
We cannot remove tax from a sale that has already been completed.
• Get it on file once and it covers your future orders until it expires.

2) Get your paperwork in first

Tax-exempt documentation — a resale certificate, an exemption certificate, or the equivalent for your category — must reach us and be approved before you place the order you want exempted.
This is not us being difficult. Once a sale is completed, the tax has been collected and reported, and unwinding it is a different process with a different form. Two minutes before the order saves a great deal afterwards.

3) How to do it

Step 1. Tell our sales or customer service team you intend to buy tax-free, and which exemption applies to you.
Step 2. We tell you exactly which document your category needs.
Step 3. Complete it accurately and sign it. An incomplete or unsigned certificate is not valid and we cannot accept it.
Step 4. Send it to us for review. We come back to you promptly.
Step 5. Once it is approved, your order is written tax-free.

4) Once it is on file

A valid certificate stays on your account and applies to your later orders, so you only do this once. Tell us if anything changes — your entity name, your permit number, your address, or the fact that you no longer qualify. It is your certificate and it has to stay accurate.
We may ask you to re-certify periodically, and we may decline a certificate that is expired, incomplete or does not match the goods being bought.

5) After a sale is finished

We do not remove tax or issue a tax refund on a sale that has already been completed. Confirming your exempt status before you buy is the customer's responsibility, and it is why §2 exists.
That does not mean you are stuck. If you were charged tax you believe you should not have paid, tell us anyway. State law provides routes for a purchaser to recover tax paid in error, including a claim to the state's taxing authority, and we will give you the invoice and documentation you need to pursue it. What we will not do is rewrite a closed sale.

6) Where we charge tax

We collect sales tax where the law requires us to, based on where your order is delivered and where we are registered to collect. Tax shown at checkout or on your quotation is calculated from that. If your delivery address changes, the tax can change with it.

7) It only covers tax

An exemption certificate affects sales tax and nothing else. It does not change your price, your return rights, your warranty, your deposit under Terms of Service §6, or anything else about your order.
